Board of Directors Meeting Minutes

 

Sept.21, 2004

 

Present:   Mark Foster, Cynthia Fry,  Chris Swain,

               Andrew Feenstra,  Ed Rushton, Suzanne Lamb.

1.   Sector Reports

Female Athlete Rep.

    - Cynthia mentioned that the issue of prize money is to be resolved.  The wording in the Road Organizer’s Guide will be clarified.  Cynthia would like to see a mountain bike female rep.

    -  discussion was held concerning the job descriptions of athlete reps and that BNS members are perhaps not aware of these positions.  Suzanne suggested a handout of job descriptions be part of the registration package for 2005.

 

Male Athlete Rep.

   - Ed has no issues to report at this time.

 

V.P. Mountain Bike

   - Andrew reported that 2 way radios were purchased recently and used at the last mountain bike race.  A longer distance frequency is preferable but these radios will be used for now.  A discussion about Martock took place with an update being that for the present time, at least, there is not hill or trail usage for bikes.  Wentworth, however, will be hosting a weekend fall festival in Oct.  The chairlift will be open for bikes.

 

V.P. Education and Advocacy

   - Mark gave John’s report.  Andrea Moritz will assist John to develop a communications strategy plan for BNS.  John will take on a communications role within his sector.  A nominating committee, normally appointed at the AGM, has instead become Volunteer Recruitment (outlined in Quadrennial Plan) formed in July,2004.  Suzanne Lamb and Chris Swain are the recruiters for the BNS Board and Committees.  It is hoped that all positions will have a person or persons to stand for nomination at the AGM in Nov.

 

2.  Quadrennial Plan

      A discussion was held concerning the progress of the Plan.  Suzanne and Chris are active in recruiting new volunteers.  Discussions were held about how to increase the youth membership at the “fresh ideas” committee meetings held in June/July of 2004.   More coaching is needed, fun races for younger age groups, marketing BNS in the schools, sprockids instruction given to BNS members to teach youth, and bike camps were some of the numerous suggestions given.  A BMX track in HRM was discussed at the Board meeting, also.  As it is so popular, it may be an excellent initiative for BNS to submit a proposal to HRM for a BMX facility.  This will be looked into by the Board.

 

3. Discussion on BNS Organizing Races

    This topic was explored as to the pros and cons.  The ‘fresh ideas’ committee had raised this issue as a possible solution for insurance coverage for special events.  A concern was raised that BNS organizing races may affect the shop and/or club organized races.  A suggestion was given to have a kids’ event at the races in 2005.  No decisions have been made as not all Board members were at the meeting.  Further discussions will take place at a later date.

 

4.  BOD Positions for 2005

      The following BNS Board positions have yet to be filled: President, Athlete Development/Coaching Coordinator, Marketing Director, Webmaster, and a secretary for the Road and Track committee.  These positions will hopefully be filled by the end of Sept.

 

5.  Planning of AGM

     The date for the AGM is Nov.14,2004 at 1p.m. at the Sport NS. Building.

 

6.  Planning of BNS Banquet

     The banquet will be held on Nov.13th from 7-9 p.m.  The Fleet Club is the place of choice at this time.  Cynthia will ask Eric to organize the event location.  A mailout will be sent to all BNS members regarding this banquet.  If held at the Fleet Club, light snacks will be free for BNS members. 

 

7.  Planning for Next Season

     Canada Games preparation and funding will be a focus for BNS in 2005.

 

8.  Other Business

      Ed discussed a better method of making the numerous racing categories easier to decipher by designing a chart for both Road and Mtb sectors.  A presentation will be made to the new committees.

      The new BNS logo will be presented to the AGM for approval.
