BNS MTB Committee Meeting Minutes March 10, 2010 - Sport Nova Scotia Building

1. The meeting was called to order at 6:45pm

2. Reading of previous minutes.
• Minutes from previous meeting February 4, 2010 were reviewed.
• It was noted that the call to order time of 7:45pm was incorrect. The meeting was called to order at 6:45pm.
• Andrew noted that the position of Trail Advocacy Representative was never removed from the committee so it stands that Tom K. is the rep.
• Andrew introduced James Gillett as the Downhill Rep. James was unopposed for the position. Welcome to the committee James!
• Randy motioned for acceptance of the minutes and Tom seconded. Minutes accepted.

3. Review of the Agenda.
• The proposed agenda was reviewed and two additional items were added for discussion. 1. Club president alternate representatives attending meetings. 2. Chief Provincial Commissaire

4. Proposed Club Point Series presentation:
• Randy presented his proposal of the BNS Club Point Series for 2010 BNS MTB Series, XC
• Discussion was held as to whether additional points should be awarded for female riders to encourage female riders from the clubs to enter races. It was decided that at this time to not award bonus points.
• Randy motioned to accept the proposal and Tom seconded. All in favor, motion passed.

5. Jersey Policy
• It was discussed that there is a current regulation that riders must wear club or team colors when representing those clubs/teams in a race. Discussion as to whether this is necessary to enforce at this time for local races. It was decided that this would not be enforced and would continue as in the past.
• Randy motioned and Tom seconded. All in favor, motion passed.

6. One Event Membership (OEM) and Race Sanction versus point series eligibility
• There was extensive discussion on the types of licensing and memberships for racing. There needs to be a balance between what is best for all parties involved, including organizers, racers, riders and BNS. There were no final decisions reached and it was decided that there would need to be further review of this topic.
• James to review with the Downhill organizers and Andrew to review with the XC organizers
• To be discussed further at the next meeting.


7. Club President alternate representatives
• Discussion on whether the Club presidents who hold a position on the MTB Committee should be able to send an alternate to the meetings. This would assist with discussions and provide a valuable point of view before decisions are made.
• It was decided to allow alternate representatives designated by the club president to attend the meetings. Club president is to notify the MTB VP or the MTB Committee Secretary of their alternate before the meeting.
• Randy motioned and Tom seconded. All in favor, motion passed.

9. Provincial Chief Commissaire, MTB
• There is still a need to fill this position. The person is not required to be a commissaire as the position is primarily and administrative function. It does require a strong commitment and involves tasks to be completed within specific timelines (arranging commissaires for races and ensuring delivery of race kit to organizers)
• There was some interest by Lawrence in the position and we would receive our greatest gratitude for accepting?!?!?!?!

10. Additional Business
• MTB XC - Individual Point Series
• It was discussed that the individual point series for 2010 MTB XC would remain the same as last year. Accumulated points from the total number of events minus one event.
• Randy motioned and James seconded. All in favor, motion passed.
• Email Policy
• Andrew presented a proposal that some business can be communicated, reviewed and then voted on through email to allow for flexibility and a more timely resolution of issues.
• Proposals are to be sent to Andrew, VP of MTB who will then forward to the committee for review. Response is required within 72 hours. Tie votes would be held over for meetings for further review.
• Darren motioned and James seconded. All in favor, motion passed.
• Trail Advocate project
• Tom to contact current and past event organizers and review their inclement weather contingency plans and best practices. This information will be used in the future for possible development of programs or policy.

11. Adjournment
